Welcome back to the final episode in February’s productivity series.

Today, I want to share how I’ve tried to transform my workspace into a mindful environment that boosts efficiency using a couple of simple approaches. Whether you work from home, in an office, or somewhere in between, our surroundings have a massive impact on our ability to stay focused and creative.

Let’s dive into some practical ways to optimise your space!

Why My Workspace Matters

I’ve learned that my work environment directly affects my mental clarity, stress levels, and overall productivity. A cluttered desk makes my mind feel scattered, while an intentional, organised space helps me stay calm and in control. By making a few mindful changes, I’ve been able to create a setup that supports both productivity and well-being.

In fact, now I cannot start work until my desk is clear.

Step 1: Declutter and Organise I found that keeping my workspace tidy is a game-changer for my focus. Here’s what helped me:

  • Keep only the essentials – I removed unnecessary items from my desk to minimise distractions. Albeit I need to work on the wires…
  • Go digital where possible – Reducing paper clutter by using cloud-based apps has made a huge difference. My Remarkable changed my life!
  • Use smart storage solutions – Shelves and organisers keep everything in place and easy to find. Having just organised my GCSE student at home, I am a genius at this!

Step 2: Optimise for Comfort and Ergonomics I made some adjustments to make my setup more comfortable and supportive:

  • Invest in a good chair and desk – Maintaining proper posture prevents discomfort and fatigue. I have an electric stand/sit desk and a kneeling stool.
  • Adjust screen height and lighting – Keeping my monitor at eye level and using soft lighting has reduced eye strain. I always am looking for the best monitor, they cost the earth unfortunately but mine is ok.
  • Incorporate movement – I take regular stretch breaks and use the standing desk to keep my body engaged.

Step 3: Minimize Distractions and Improve Focus Distractions used to be a major productivity killer for me, so I implemented these changes:

  • Use noise-canceling headphones or earplugs – Listening to calming music or white noise helps me stay focused. I also use loop earplugs – a gamechanger in a busy and loud household
  • Create boundaries – I set work hours and let others know when I need uninterrupted time. To my detriment sometimes but I am a stickler for rules!
  • Use a minimalist desktop setup – Keeping only what I need visible helps me stay on task.

Step 4: Introduce Mindfulness Elements Bringing mindfulness into my workspace has helped me feel more present and productive:

  • Add greenery – Having plants on my desk improves air quality and brings a sense of calm. Ok so I use fake ones but who’s judging?
  • Incorporate natural elements – Wood and stone accents in my space help create balance. I don’t do this but aspire to..:)
  • Practice breathing techniques – Taking deep breaths between tasks helps me reset my focus. Swimming is big in our household and we use GOAT Michael Phelps’ technique 4282 (The most decorated Olympian of all time happens to be a swimmer ahem) Breathe in for 4 seconds, hold for 2, breathe out for 8, and hold for 2 again.

Top Tip: Go Paperless with Digital Notebooks!

So I mentioned my Remarkable. I’ve been using Remarkable for 3-4 years now, and I haven’t touched a traditional notebook since. It streamlines my workflow and keeps my desk clutter-free. I also pair it with ChatGPT to turn my handwritten notes into structured to-do lists—making task management easier than ever. I’ll be doing a full review in a future episode, but for now, if you’re looking for a simple, effective way to manage your notes, a digital notebook might be worth considering!

Here are some things I aspire to, but don’t do – maybe they will work for you?

Top Tip: Create a Personalised Space

  • Choose colors that boost focus – Blue and green keep me calm and focused, while yellow sparks creativity.
  • Use inspiring quotes or vision boards – Visual reminders of my goals help keep me motivated.
  • Keep a gratitude journal nearby – Writing down daily wins keeps me in a positive mindset.

Final Thoughts Your workspace is more than just a desk and a chair—it’s a space that sets the tone for your entire workday. By making a few mindful changes, you can create an environment that supports productivity, creativity, and overall wellbeing. Try out some of these tips and see how they impact your workflow!
